My working files are folders that contain records, notes or other information that I need in order to do my weekly paperwork. I have a hanging folder with a typed “Working Files” label, and inside, there are 4 manila folders. I’ll explain each of these folders, and you can use the same ones, or create your own to fit your personal needs:
Labels
Though I pay most of our bills online, there are a few companies that don’t accept electronic payments. For these companies, I made sheets of preprinted address labels, so I wouldn’t have to write out their names and addresses each month. It’s one more way to be on autopilot.
To Read
When I get things in the mail that I want to read, I file them here. These are things like investment newsletters and school papers. If I’m going to an appointment where I’ll probably have to wait forever, I take this folder with me. I can usually get through everything while waiting for my OB-Gyn, who is always, always running behind.
Coupons
I have a wallet size, accordion-style coupon organizer, but it seems to be the trend for stores to send giant, full or half-page coupons in the mail. Since these don’t fit in my coupon organizer, I store them here instead. I just get this folder out and sort through it each week, when I make my grocery list.
Proceedings
This is where I put papers that I’ve taken action on, but I’m still waiting for action or response from another party. Examples are copies of rebates that I’ve sent in, pending insurance claims, requests for removal from mailing lists, etc. This folder makes it easy for me to keep tabs on unresolved matters. When an issue is resolved, I move the associated papers to their appropriate files.
You’ll refer to your bills folder and working files most often, so these folders should go right in the front of your file drawer or box. Tomorrow, I’ll explain the rest of my files, and we’ll talk about how to set up your complete filing system.
To do this, you will need the following:
-All of your unfiled papers. Gather up everything that’s sitting around in piles, baskets, or bins and put it in one place. A laundry basket works well.
-Your file box or cabinet
-A box of letter size hanging files
-A box of standard weight manila folders
-A labelmaker, or self adhesive file labels
-Small binder clips or paper clips
-Your recycling bin (believe me, you’ll use this more than you think)
